Hokui Management Handbook

Welcome to the official Hokui Management handbook. The intended audience for this handbook are current Hokui Lead Juicers and above. You should read through and understand the policies that come with being a management member. If you are a current management member, any regulations violated within this handbook can and will be used against you, and you are subject to corrective action if this should be the case.

Managers and above also have to refer to the mini game guide and the btools guide as official handbooks, which are linked on Discord.

General Management Expectations & Regulations

→ Chain of Command

Please see the contact information section for specific information regarding inquiries.

If you have any minor questions, please ask in the staff discussion channel in our server. For bigger issues, ask an Executive. It is preferred that you firstly direct any questions that involve Executive assistance to an Executive Assistant or Executive Officer.

Please DO NOT message Leadership Team members for issues that Executives can solve.

Please avoid involving yourself in issues that should be answered by an Executive. Please see the contact information dropdown to know when you should contact which team.

→ Age Policy
You must be 13+ and not have safechat enabled to work at Hokui. Players under 13 are not allowed in the Discord server. If found underage, you will be immediately terminated from your Hokui position and banned from our Discord server. This is an IMMEDIATE termination without warning.

→ Account Security Policy

While working as a management member, it is important you directly manage your Roblox and Discord account. While 2FA acts a firewall, there are ways to get through it. To avoid risk of your account being tampered with, ensure that you do not share important details (passwords, 2FA codes, emails) with your close friends, or random users who request them. Please do not click on random links that have been sent to you, especially if the user is asking to create a GFX or graphic of your avatar.

In general be aware and do not share any personal information. If your account does get compromised, we may be hesitant to keep your position secured here as we have outlined here what not to do.

→ Maturity & Professionalism
You should avoid picking fights with other management members or community members, be respectful to your peers, and handle any conflicts outside of the server and instead in DMs. If you ever have an issue with someone that can be handled personally, please do so and avoid contacting an Executive unless it is necessary. As aforementioned, conflicts may occur between you and another peer, so we recommend that you attempt to handle it independently before moving forward with informing an Executive. However, this does not mean to overstep your role and handle things that don’t correlate you personally.

Be productive, attentive, and professional while shifting. Trolling, exploiting, or breaking the Code of Conduct is not allowed. On Discord, follow all rules. Inappropriate statuses or vulgar behavior will have consequences.

No slurs are allowed in the Hokui server at any time. This includes, but is not limited to, the “R”, “N”, “F”, and “C” slurs. You are allowed to say slurs in DMs, however, ensure you can reclaim it if you’re ever reported by someone and avoid saying slurs if the other individual is uncomfortable. Disregarding our rules regarding slurs will result in consequences, such as a warning or immediate termination and blacklist.

Keep a friendly tone. Do not bring up religion, politics, or other controversial topics. If unsure, ask an Executive.

→ Grammar Usage
Perfect grammar is not required, but your messages must be easy to read. Make sure others can understand you when shifting.

→ Leaking Confidential Information & Group Chats
Internal information that has not been made available to the public eye should remain confidential to those it was shared with. Please do not share internal chats and documents.

Leaking the CONTENTS of chats should be avoided and may lead to an immediate final warning or termination depending on the severity or the chat. This will be reviewed on a case by case basis by our Executive Team.

Leaking any information from your Lead Juicer questionnaire or Supervisor exam may lead to your immediate final warning or termination depending on the situation. You are not to share with anyone the questions or your answers as it is considered cheating.

Any Coordinator or above that leaks internal information regarding our recruitment systems, chats, and confidential information regarding anyone’s recruitment process is subject to their immediate final warning/termination from our team.

Exceptions to any leaking rules stated above will be evaluated on a case by case basis with the Leadership team.

Do not join or stay in group chats where leaking occurs. If one person is sharing confidential information, everyone in that chat is accountable. Withholding your knowledge of leaked information is also punishable.

→ Common Sense
Use common sense when speaking or acting in the server or game. Not every rule is written, but you should know what’s inappropriate. For example, while little specific things may not be outlined in the handbook, if you are aware it can be seen as controversial, grant you a consequence, or make others uncomfortable, do not do it. This includes making harsh jokes, flooding channels, purposely bothering others, or anything that can get you into trouble. Use this handbook as a basis during your time as a Management member and ask yourself if something would be okay before doing it. If you need any clarification regarding something, don’t hesitate to contact an Executive.

→ Personal Drama

Hokui does not get involved with drama that has to do with your personal feelings towards someone or something involving the group, as long as it is kept outside of Hokui. This does not mean you should excessively disrespect any members of the group, and if you actively seek out drama, you will be punished. This means that you cannot DM somebody to be disrespectful or start drama. If you are being racist, homophobic, or doing anything seen as morally incorrect, you may also be punished.

For example, if you have an argument with a friend and they mentioned something that hurt you personally, the Executives will not address it and won’t take action. This is because there are many layers to personal connections, and it would be impractical for us to go in-depth with those type of things. If it ever gets to a point where your personal drama is being taken to a level where you prefer disengaging with it, we recommend avoiding contact with that specific person by blocking or ignoring them. If they eventually bring the drama into the Hokui server, Cafe, or affiliates, don’t hesitate to report them to an Executive.

→ Executing Reports

When reporting a Management member to an Executive for misconduct, action will only be taken on the individual if the evidence is clear, not fabricated, and shows a specific wrongdoing. We expect context when you’re reporting people or else no action will be taken. Executives review reports considering broken regulations from the handbook and adequate evidence, so make sure you’re reporting misconduct on those two basis’. Please don’t hesitate to ask an Executive before reporting misconduct if something needs clearer or more adequate evidence.

When submitting reports, you must always send video evidence that clearly showcases the rules being broken. When conducting a report for something that happened in DMs, it is required to show a mobile screen recording which you open the users profile and mutual servers.

Lastly, when reporting you must cite evidence from the handbook regarding the rule it broke. We will not accept a report if you do not show us what rule it broke, but you may ask us for clarification before submitting a report.

You are to only report Star Juicers and Verified Juicers hinting if it’s a case of someone persistently harassing or begging an individual for a promotion, or if they go about it in a disrespectful manner, particularly towards a newly promoted Lead Juicer or Supervisor. In cases where you, alongside fellow Management members, have mixed opinions on whether something would fall under ‘hinting’ or not, you can ask for a Coordinator+'s opinion before going forward with anything. Additionally, it is also required to provide clear context and/or chatlogs (if in-game) within a report for it to be marked as valid. Furthermore, simple aspirations are not hinting, so therefore please do not count it as such.

Hokui does not allow you to report somebody out of spite or revenge. If we notice that you have conducted a report for a toxic reason, you will be the one who ends up receiving a consequence. This is because when doing this, you are wasting the Executive’s time as they have to investigate a situation that bases from ulterior motives. Toxic/petty reporting may result in your immediate warning.

→ Anonymous Reporting

Hokui does not allow you to anonymously report management members, unless they are genuinely a threat to your safety. We do not believe in withholding evidence from members when giving consequences to protect identities, as proof can easily be forged with artificial intelligence and photo shop applications. We allow everyone to properly defend themselves, meaning proof should be provided.

→ Discrimination

Hokui does not allow discrimination of any kind (race, gender, identity, orientation, etc). This includes racism, homophobia, transphobia, or hateful speech; all of these will lead to an immediate termination and ban from Hokui’s communications server. This includes inside AND outside of Hokui. It does not matter if it’s in a group chat with friends or in the server, discrimination is not allowed.

→ Admin Commands Protocol

See the disciplinary action dropdown below. You will find the administrative usage chart. Only use the commands listed there unless told otherwise.
We are strict about admin misuse. If you abuse commands, you will face consequences.

→ Discord Etiquette

  • If you have suggestions or concerns related to management operations, do not fret to bring it up in the #staff-suggestions channel as the Executive team are constantly seeking for suggestions to implement. Be sure to review the rules before posting a suggestion. When making a suggestion, add the labels and reactions necessary and feel free to pin your suggestion. We encourage you to avoid discussing in threads if you merely agree with the suggestion and have nothing beneficial to add on. If you disagree, feel free to respectfully elaborate; however, if a reaction gets the message across clearly, we recommend leaving it at that.

  • Ensure you’re following the #staff-discussion etiquette pinned in the channel to foster smooth communication with your peers. You are allowed to correct your co-workers in a respectful tone. Hostility, sarcasm, shade or passive aggression is not tolerated. However, for major mistakes that could embarrass the other party, you may report it to an Executive politely DM the individual. Only one person should correct or answer at a time. If an initial response was incorrect or incomplete, you may add on helpfully and respectfully. Additionally, bear in mind that you should not correct in-game mistakes in staff discussion, use direct PMs if necessary. Breaching the #staff-discussion etiquette can result in minor consequences.

→ Resignation Policy

If you’d like to unfortunately resign from Hokui, please DM any Executive to resign, and they’ll handle your resignation. Please keep in mind that once you resign, it’s final. You cannot come back on the team through asking. You must work back up like everyone else, so please think about this decision thoroughly before choosing to depart from the team. Those who have been employed for fewer than four weeks will not be eligible for our Former Management role. If you have been employed for four weeks on the dot, you will be denied from the role if you were on an inactivity notice for the majority of your time here.

Management Activity Expectations

→ General Activity Expectations

While employed at Hokui, consistent activity at the cafe is expected throughout the week. It is okay to miss days occasionally, but frequent inactivity will result in consequences. The minute requirements are below. If you miss more than three days in a row, you are prone to receiving a consequence. If you consistently abuse this by prolonging inconsistent inactivity, you may be reformed for not being a beneficial management member. As you progress up the ranks, frequent activity in Discord discussion channels will further be required.

The Executives conduct biweekly activity checks on Thursday. Our consequence sequence is Reminder > Warning > Termination. When the Executives conduct management activity checks, we also follow a procedure to prohibit an amount of activity every checking period that is not considered beneficial to this team. You are not allowed to miss 10/14 days of activity during a checking period; therefore, having no more than 4 days of activity throughout a checking period will result in a warning instead of a reminder. Additionally, inactivity across two checking periods will result in consequences as well. Any inactivity reminders and warnings can be appealed to a Compliance Lead, while inactivity terminations can be directed to a member of Leadership.

You have access to your calendar in game if you need to review your own activity.

→ Inactivity Notices

The inactivity notice system is a way to avoid consequences when you aren’t able to meet the Executive Team’s activity expectations. While you can still remain active during this period, it is not mandatory. To file an inactivity notice, send a message to an Executive Assistant or above asking to go on a notice, ensuring you provide the start and end date and reasoning for your notice. Please note that you should request Inactivity Notices up to 1 day in advance to ensure that the Executive can process your request without complications. There is a minimum length of 4 days and a maximum length of 30 days when requesting an inactivity notice. Exceptions to the length of your notice can be worked out with the Executive or Leadership Team on a case by case basis upon your request. There is a cool down of 30 days between each notice, which can also receive an exception from our Executive Team upon your request. The Executives will discuss your request and come to a final decision regarding if an exception will be granted. You may request to extend your current Inactivity Notice if you need it due to valid reasons. However, it must be done at least 1 day before the Inactivity Notice ends. Failure to do so on time will result in the request being denied.

If you’re expecting to be inactive for an unusually prolonged period of time, you may want to consider stepping down from your position. If you are on a final warning for inactivity, or you have consequences for consistent inactivity, you may only take a notice for serious reasons. If you are caught working at another group during a notice whilst on a final warning, it will be revoked. The Executives may also deny a notice if you have been consistently underperforming prior to your notice.

Attempting to create loopholes around the inactivity notice policy will not be tolerated.

→ Promotion Expectations
If you plan on doing the bare minimum requirements, do not anticipate being promoted quickly as the Executive Team takes activity into consideration more. Although those with more activity are prioritized, please note that seniority within your rank is still a factor. While this does not mean we will only promoted based on who is the oldest, it does mean that if you are an older candidate AND you are overachieving, you have a better chance at getting promoted. This does not mean we have cooldowns between ranks, but we are more likely to choose an older candidate IF they are overachieving.

Overachieving to us looks like consistently doing 1+ hours at the cafe without missing too many days. You should also aim to provide messages with benefit and quality within Discord channels that pertain to your rank (MGR+). More information regarding this will be in your most recent promotion letter.

If you have been passed up for promotion by another individual, meaning that somebody that got your position after you has progressed to the next rank before you, you may ask an Executive for feedback on how you can grow since you have been skipped. Common reasons for being passed up have to do with your activity not being as high as the other individual, or you may have a consequence that caused us to pass you up. Feel free to ask an Executive for more information ONLY if you have been skipped. In some cases, somebody may have ‘passed’ you but there are still spots open, so you may still be eligible for a spot. Since this is a case, you should only ask for feedback once all spots are filled for the rank you are inquiring about.

→ Supervisor Activity Requirements

  • 30+ cafe minutes (daily)
  • No more than three missed days in a row at the cafe

→ Manager Activity Requirements

  • 30+ cafe minutes (daily)
  • Consistent activity in select Discord channels (see promotion letter)
  • No more than three missed days in a row at the cafe

→ Coordinator Activity Requirements

  • 20+ cafe minutes (daily)

  • Activity in recruiting staff members & Lead Juicer staff management (see promotion letter for details)

  • Assist in planning and assist hosting events hosted by Executives (see promotion letter for details)

  • Consistent activity in select Discord channels (see promotion letter for details)

Additional Notes:

We encourage all of our Management members to help out on the group forums. While participation isn’t a requirement, it can increase your chances for Management of the Month. There is a thread within our community server to log group forum contributions. This could be ‘Deleted [image] from group forum’, or just a simple screenshot of the message you have sent, saying “Answered a question on the group wall. Ensure the words ”group forum” are somewhere in your log.

Cafe Supervision Etiquette

When at the cafe, be sure to spread out so all servers are moderated equally. There can be a max of three management members per server at the cafe. If there are at least three management members in each server, use your discretion to determine which server needs the most support.

While shifting, it is expected of you to not crowd certain supervision areas and be mindful by spreading out evenly throughout the cafe. If there is only one server, you are encouraged to spread out around the counters or in the kitchen every 10-15 minutes. You should avoid supervising any areas that do not require Management attention. If you notice other management refraining to move, feel free to send out a polite PM message asking them to spread out. If this does not work, you are welcome to gather evidence and report this issue to an Executive. There should be no more than 3 admins in the lobby, the rest should supervise different areas of the kitchen to be able to assist and watch over juicers. An exception to this rule is if you’ve having quick conversations with your friends, answering a question, or mopping a spill.

You are also expected to frequently order from our Juicers and engage with them when possible. Failure to order from Juicers during shifts can result in consequences. Please remain attentive to any questions or concerns that may arise in-game. If one of your Management peers are being asked a question and you see that they can’t chat with them, try stepping in to ensure the inquiry is handled. If you have questions or require clarification regarding these rules, do not hesitate to contact an Executive.

Larger servers should also be prioritized. You will only be required to supervise servers that have ten or more players in it. While you can briefly check smaller servers for point cheaters, you should not be sitting in servers that do not require attention if there are larger servers that need it more.

At times where all servers have at least three management members or less than ten players, use your discretion to determine where your support is needed. Furthermore, if you come across a troller bothering a Star Juicer, ensure that you let the Star Juicer handle it themselves as opposed to intervening.

Whenever dealing with a disruptive individual, we have set commands for you to use to ensure that no reminders or warnings are going unnoticed. With that in mind, you are also expected to provide verbal reminders/warnings in addition to your command usage so that the player can be provided with as much clarification on the rule they are breaking as possible, and what could possibly come if their behaviour is not put to a halt.

Building Tools Usage

Managers and above are granted the ability to use building tools, alternatively known as ‘f3x’ or ‘btools’. This will mainly be used by management members (manager and above) to host minigames at the cafe from time to time, or by Executives to host mass shifts. They should not be used for any other reason or you may be subject to harsh consequences.

You are to use this command and these tools very responsibly, and you will receive an examination before you are allowed to use them for any particular reason.

When using the Btools command to host mini game shifts, you must preserve the map throughout building. If you do anything that causes the map to fall apart or make any major mistakes that are unfixable, you should immediately undo it. If you are carelessly not attempting to fix the mistake, you are subject to immediate warning.

When you are finished with the event that you used building tools for, EVERYTHING must be deleted. If you miss any parts, you may be subject to consequences. Please remember that customers who are not familiar with our game do not know about minigame shifts, making random parts unfamiliar and awkward to said players. We do not want to ruin the player experience, so we ask that you are very careful and double check that everything is deleted.

If you fail to return the map to its original state, you may receive consequences.

Alliance Expectations

You must be on your best behavior at all other Roblox communities, regardless of our affiliate status. However, at Hokui alliances specifically, you are not to break any rules that you would not break at Hokui. If you break the rules of the game or act in such a way that violates the Hokui handbook or code of conduct, your actions will lead to severe punishments. This includes being disrespectful to workers at our affiliates or causing any other form of disruption.

Management members (not interns) may host UNOFFICIAL affiliate visits, posted in staff lounge for other members to join. Relations Board members will periodically host official visits for our Lead Juicers and above to partake in. When hosting unofficial visits, feel free to invite everyone from #staff-lounge to join the visit with you. All participants of the visit should have their uniform and be on their best behavior at all times. Greet the Management members in the establishment and take a photo to commemorate your visit.

When attending visits hosted by the Relations Board, find the host as soon as possible and ensure you have your uniform on. Feel free to go to the registers and order or explore the establishment. The Relations member should give important directions when in-game, so ensure you are paying attention to them at all times for a smooth process. It is strongly encouraged to connect with the members of our affiliated establishments. If you have any questions regarding affiliate visits, don’t hesitate to contact a member of the Relations Board.

Customer & Juicer Disciplinary Action
  • As a management member at Hokui, your purpose is to monitor the cafe and keep the peace at our premises. Detailed below will be the cafe protocol regarding how to deal with disruptive players at any of our facilities. If you have any questions regarding cafe protocol, please ask in staff discussion.

  • Whenever dealing with a disruptive individual, we have set commands for you to use to ensure that no reminders or warnings are going unnoticed. Please see the administrative command usage dropdown for this. With that in mind, you are also expected to provide verbal reminders/warnings in addition to your command usage so that the player can be provided with as much clarification on the rule they are breaking as possible, and what could possibly come if their behavior is not put to a halt. This means that once you execute either the !remind or !warn command, you need to verbally inform them that they have been reminded/warned.

  • All p-ban requests should be directed to the #pban-requests thread, an Executive will determine whether or not it’s severe enough for a p-ban. If the evidence and reasoning are valid, an Executive will react to your request with a checkmark. However, invalid p-ban requests will be denied, and you will be given an explanation in #staff-discussion on how you can make a valid p-ban request moving forward.

  • Please note that Hokui does not carry out juicer demotions, and you should therefore follow the same processes when handling customer and juicer disruption. However, you should make a Star Juicer Report by contacting a Coordinator+ if you notice a Star Juicer breaking the rules in-game, so that it can be logged internally.

Activity Farming Bring to AFK Room

→ Additional Notes Regarding Offenses:

Purposely Annoying Admins: If a customer is purposely pestering you with the intent to annoy you, bother you, or disturb you from your duties, you are allowed to take action against them. Please do NOT abuse this and please be practical when using this procedure.

Activity Farming: Only take action if they are AFK for 2 minutes or above. You may submit a report if it is a Star Juicer — ensure that your video contains the entirety of their time spent AFK, with a clear showcase of you attempting to communicate to no avail.

Banning: As Supervisors do not have permissions to ban people at the Cafe, if you encounter someone committing an offense which warrants a ban, please make a ban request in #staff-discussion and a Manager+ will tend to your request. If you are a Manager or above, you may ban without needing to file a request.

Make sure you are not stepping in when Star Juicers or Lead Juicers are handling trollers unless they reach out for assistance. It is important for them to gain this experience.

PLEASE TYPE AT LEAST HALF OR FULL USERNAMES WHEN ISSUING CONSEQUENCES

Management Disciplinary Action

→ Consequence Policy

Consequences are given to management members who continuously break the regulations. Consequences can vary from the lightest form, (reminder) to the highest form (termination). Consequences are given to individuals upon discussion and depending on the severity of the rule that was broken. Reminders and warnings can be appealed to a Board of Directors, while terminations can be appealed to a Leadership Team. Please keep in mind that appeals are not used to simply apologize or show remorse as that is measured by improvement. Appeals are used to explain why a consequence should be revoked if you deem it too harsh, unjustified, or out of place. Please keep in mind that the Directors and Leadership team has the right to deny your appeal at any given time.

→ Direct Messages

Direct messages aren’t a consequence and they will be given when minor issues need to be corrected. They do not have an affect on promotions, however, they will serve as a basis in case a similar offense arises for more serious consequences. They are unformatted and small messages.

Listed below are reasons you may receive a direct message throughout your employment here: (All DMs will be issued given that it is a first time offense).

  • Error made that does not have any major impact, but requires clarification
  • Disregarding minor rules or regulations that are not harmful to Hokui’s operations, but still noted as prohibited
  • Rule that was broken but it is not clarified enough in the handbook at the time of the DM being sent

→ Reminder

Reminders are the lightest form of a consequence, with its purpose being what the name says: a reminder. Reminders shall be issued out to management members making very minor mistakes, with it hardly affecting their chances of a promotion.

Listed below are reasons you may receive a reminder for throughout your employment here:

  • Continued misconduct following a direct message
  • Being disrespectful or engaging in arguments in the communications server
  • Unprofessionalism in-game or at affiliates
  • Creating an unwelcoming environment on a minor scale, may be a warning if major
  • Disregarding any regulations in the handbook that are harmful to operations, may be a warning if major
  • Misusing commands if minor

→ Warning

Warnings are a more official and weighted version of a reminder, as they hold more weight for future promotions. Warnings are not to be taken lightly, but will have a wide range of severity varying case by case. Warnings will be held as long as we see fit.

Listed below are reasons you may receive a warning for throughout your employment here:

  • Continued misconduct after a reminder.
  • Severe disrespect, unprofessionalism, or hostility
  • Violating serious and harmful guidelines stated in the handbook
  • Minor leaking
  • Misusing commands
  • Disrupting the game by misusing btools and/or carelessly using btools
  • Reporting someone with a toxic/petty ulterior motive; submitting invalid reports on purpose

→ Suspension

Suspensions are used when the Executives feel as though more evidence and discussion has to be conducted before reaching a final verdict regarding your punishment. This is only used in serious situations, and results in a temporary loss of your rank.

→ Final Warning

A final warning is conducted when you are a step away from being terminated from your position. Final warnings do not have to follow the reminder → warning format, and you may be immediately placed on a final warning if the Executives deem it necessary depending on the severity of your consequence.

Listed below are reasons you may receive a final warning for throughout your employment here:

  • All the same reasons you can gain a warning for
  • Major inconsistent inactivity
  • Not being a benefit to our staff team and/or being careless with your duties and activity
  • Leaking (case by case)

We have the right to place you on an immediate final warning for any of the reasons above, skipping the reminder → warning sequence if we deem necessary

→ Termination

Terminations are the harshest form of punishment, essentially relieving someone of their duties for severe violations of our code of conduct, such as discrimination, leaking extremely confidential information, constant inactivity, etc.

Listed below are the reasons you may be terminated from your position:

  • Continued misconduct after a warning or final warning.
  • Racism, homophobia, slurs that can’t be reclaimed, or major leaking of systems. (instant termination)
  • Leaking exam and questionnaire answers in an attempt to cheat or have another user cheat (instant termination)
  • Being under 13 (instant termination)
  • Doxxing, major harassment (instant termination)
  • Forging/tampering evidence (instant termination)

→ Blacklists

Blacklists are another harsh form of punishment, restricting anyone from becoming a Lead Juicer or above along with them being removed from their position as a MR+. Blacklists could be added to a termination if the Executive Team deems it fit for the consequence.

Listed below are reasons you may be blacklisted from becoming a Lead Juicer or above.

  • Doxxing, major harassment.
  • Putting other’s safety at risk.
  • Racism, homophobia, slurs that can’t be reclaimed.
  • Major leaking of systems. (instant blacklist)
  • Creating an expose document about Hokui and/or its members. (instant blacklist)

Please note that for behavioral consequences that we have the right to not follow the dm → reminder → warning → termination sequence. This means that you can immediately get a harsher consequence without getting the previous consequence if the severity of the situation calls for it.

**Please note that Executives have the right to issue additional consequences if we feel as though your response to the consequence notice was immature, disrespectful or unprofessional.

Listed below are reasons you may receive an additional consequence:**

  • Continuously arguing about your consequence after it has been fully explained to you and the Executive has attempted to end the conversation
  • Causing any type of drama, being disrespectful, or making shady or petty comments regarding your consequence
  • Mentioning your consequence in Hokui (in-game or Discord channels) in a negative way
  • Blocking the Executive who issued you the consequence
  • Not addressing your primary consequence

When you receive a reminder, warning, or final warning, you are required to acknowledge the consequence by replying or reacting to the notice. Failure to acknowledge the notice within 24 hours will result in a follow-up, and failing to respond 24 hours after the follow-up will lead to a reminder. From there, a further lack of response will lead to a warning, then a termination if it continues.

Any appeals must be submitted within 1 week of receiving the consequence. Activity reminders and warnings should be directed to a Compliance Lead, behavioral reminders and warnings should be directed to a member of the Board of Directors, any terminations for activity or behavioral reasons should be directed to a member of the Leadership Team.

Administrative Command Usage

This section will show what commands you can use as a management member while supervising at the cafe. :police_car_light:These are the ONLY commands that any management member should be using while at the cafe unless otherwise told. :police_car_light: We are not lenient with our consequences for admin abuse, so please do not abuse these commands. If any of these commands need to be updated or changed, you must ASK before just going on and using commands not on this list.

Contacting Executives

When you find it necessary to contact an Executive, please follow the guide below.

→ Executive Assistants:

Executive Assistants should be your first point of contact for general inquiries regarding operations or an inquiry that could not be answered in staff discussion. They may help you with the following:

  • Reporting Management Members
  • Filing Inactivity Notices and extensions
  • Questions regarding consequences (contact the Executive that messaged you the consequence first if it is specific to you)
  • Questions regarding promotion feedback or the promotion system
  • Clarification regarding rules, etiquette, or procedures

→ Executive Officers:

The Executive officers are broken into focuses that they lead. You may go to them for anything that you would go to an Executive Assistant for, along with additional concerns listed below.

Compliance Leads:

Compliance leads may be contacted for the following:

  • Questions regarding activity consequences given
  • Questions regarding activity standards
  • Questions regarding activity excusals (case by case)
  • Appealing inactivity reminders and warnings

Community Engagement Leads may be contacted for the following:

  • Questions regarding events
  • Questions regarding minigame shifts
  • Social Media Team inquiries

Please note that if you have gotten two conflicting answers from different Executives, you are to then contact a member of the Board of Directors or above, informing them that you got two different answers and they will give you the correct one.

Contacting the Board of Directors

Our Board of Directors members act as our Senior Executives. They are ultimately the head of the Executive Team, and are higher in authority. You may contact them for the following:

  • Executive Reports
  • If you disagree with an Executive’s response to your message (only if the Executive was hostile/careless with the responses)
  • If multiple Executives have given you conflicting answers regarding a matter
  • Disagreement with a policy Executives have made
  • Disagreement with a suggestion that Executives denied
  • Appealing reminders or warnings

If your concern is not listed above, but rather listed in the Executive category, PLEASE message an Executive first. Please keep in mind that our Board of Directors members are tasked with overseeing the entire Executive and Management Team, so they may not want to answer questions that can be directed to an Executive as they have multiple other tasks that occupy their time.

Contacting Leadership

Leadership members should be your last point of contact for any of the above issues, and they will likely ignore you if you message them about something that could be handled by someone else.

Our leadership Team is broken into teams.

→ Community Manager:

Our Community Manager handles all tasks related to our group and Discord organization, management, and lightly dabbles in administrative work. They ensure to lead the moderation team of the group and ensure that policies are being updated and clear. They also are in charge of managing the leadership team’s activity.

→ Head of Operations:

Our other two Vice Presidents, and our President all lead operations as a whole. They can be contacted for the following:

  • Reports regarding Senior Executive Members
  • Disagreements with Senior Executives
  • If you feel uncomfortable with a report being viewed by the rest of the Executive Team
  • Appealing a termination of your employment

Vice President:

The Vice President is in-charge of overseeing either our Compliance or Community Engagement department, while also acting as a mediator and head of the executive team as a whole. They are the head of staff and are trusted to act as a ‘checks & balances’. They are to execute Hokui’s mission and plans whilst working closely with the owners to do so.

The President is tasked with overseeing the leadership team, and working on external operations of Hokui rather than internal. This includes managing the discord, managing development, or project advising and assisting.

→ Owners:

You should contact a leadership member BEFORE contacting the owners, unless they are on notice. Owners may be contacted for development opportunities or anything you genuinely believe should be directed to an owner that is NOT listed in the bullet points above. You may also obviously contact owners for reports on the leadership members.
