MarketWay Corporation – Time Clock Fraud Policy
MarketWay Corporation takes the accurate recording of work hours seriously. Time clock fraud undermines fairness, payroll accuracy, and operational integrity. This policy defines prohibited actions, detection methods, consequences, and the appeals process.
Prohibited Actions
Time clock fraud includes, but is not limited to:
• Going AFK while clocked in (away from keyboard). Example: Sitting idle in the employee lounge for 10 minutes while still clocked in.
• Tampering with or bypassing the Clock-In system. Example: attempting to manipulate the shift logs to show hours not actually worked.
• Falsifying shift records, including failing to clock out or manually altering recorded hours. Example: leaving the system clocked in overnight without working.
• Using exploits, macros, or automated tools to simulate presence without performing duties. Example: using a script to make your avatar move while you are away.
Detection & Monitoring
• The Clock-In system logs activity and automatically notifies management of suspicious behavior (e.g., AFK detection, rapid repeated clock-ins, unusual session patterns).
• Management may review in-game recordings, Vocovo logs, and system timestamps as supporting evidence.
• Records of suspected fraud will be documented and retained for investigation.
Consequences
Consequences depend on the severity and frequency of the violation and may include:
- Verbal Warning — for minor or first-time infractions.
- Written Warning & Temporary Suspension — for repeated or moderate violations.
- Demotion — for repeated or serious infractions.
- Termination from Position — for severe, repeated, or malicious fraud (including tampering or deliberate falsification).
- Removal from Employee Roster — for egregious or unresolvable cases.
Investigation Process
• Management will conduct a fair investigation, reviewing system logs, recordings, and witness statements.
• Employees under investigation may be temporarily suspended from duties pending outcome.
• Evidence supporting findings will be documented and stored.
Appeals
• Employees may appeal disciplinary decisions by contacting management within 72 hours of notification.
• Appeals should include any supporting evidence or witness statements.
• Management will review appeals and respond with a final determination within a reasonable timeframe.
Reporting
• Suspected time clock fraud should be reported privately to management or via direct message.
• Reports should not be made publicly to avoid unnecessary disruption or false accusations.
Acknowledgement
By participating in MarketWay Corporation experiences, employees acknowledge that they understand this Time Clock Fraud Policy, agree to follow accurate clocking procedures, and accept the potential consequences for violations.
MarketWay Corporation – Levels of Discipline
This policy outlines the progressive steps taken when employee behavior or performance becomes a concern. The framework helps employees understand the seriousness of issues and encourages corrective action before severe consequences occur.
Level 1 — Uh Oh, This Needs Attention
• When used: Minor issues or first-time slip-ups.
• Action: Supervisor gives a verbal warning, explaining what went wrong and how to correct it.
• Example: Forgetting to restock a shelf or minor dress code misalignment.
• Outcome: Employee is aware that the behavior needs improvement. If repeated, the issue moves to Level 2.
Level 2 — This Is Becoming an Issue
• When used: Repeated minor issues or a moderately serious incident.
• Action: Written warning is issued and documented in the employee’s file, outlining what needs to change and a timeline for improvement.
• Example: Continuing dress code violations or minor behavior problems after a verbal warning.
• Outcome: Management expects improvement; further problems escalate to Level 3.
Level 3 — This Is a Serious Issue
• When used: Continued problems after prior warnings, moderately serious misconduct, or an incident requiring immediate attention.
• Action: Temporary suspension from duties for a defined period.
• Example: Repeated AFK/time clock fraud or not taking assigned duties seriously.
• Outcome: Return to work may include a performance plan. Further issues may result in demotion or termination.
Level 4 — Demotion
• When used: Serious or repeated violations showing the employee should no longer hold their current responsibilities.
• Action: Employee is moved to a lower role with adjusted duties.
• Example: Repeated failure to enforce policies or misconduct affecting team operations.
• Outcome: Demotion is recorded; continued issues could lead to termination.
Level 5 — Termination
• When used: Severe misconduct, intentional sabotage, or repeated failure to improve after prior disciplinary steps.
• Action: Employment is terminated, and the employee is removed from the roster.
• Example: Tampering with clock-in systems, deliberate misuse of Vocovo, or intentional harm to operations.
Investigation & Documentation
• Management investigates fairly using logs, recordings, and witness statements.
• Findings, actions, and outcomes are documented in the employee record.
• Temporary suspension may occur during investigations if necessary.
Appeals
• Employees may appeal disciplinary actions within 72 hours of notification.
• Appeals should include supporting evidence or witness statements.
• Management will provide a final decision after review.
Acknowledgement
By participating in MarketWay Corporation experiences, employees acknowledge that they understand this disciplinary framework and accept that behavior and performance issues may result in escalating corrective actions, up to termination.
