This document is crucial to your daily jobs here at ClearView Optics. Make sure you always have your uniform on whilst you’re at the clinic! You are required to greet your client and make them feel comfortable. Below is a format that can help you at the reception desk and to properly greet your client:

How to Work at the Reception Desk:
To work at the reception desk, you must first find the operation desks. These are located at the front of the clinic. Once you have completed this step, you may continue.

  1. Greet your client. (See below).
  2. Click on the screen in front of you. It will show a UI.
  3. Click on the user that you are trying to check-in. Next, click the “>” button.
  4. You have previously asked them what appointment they’d like. Click on the appointment that they responded with. Next, click the “>” button.
  5. If the client said anything that could be considered as extra information, add that to this section. If not, respond with “N/A”. Next, click the “>” button.
  6. You should now be at a page that will allow you to look over the appointment. Once you’re done, click the “Check-In” button!
  7. Give the client directions to the appointment room (if needed)!

How to Claim an Appointment
It is important that you are actively claiming appointments at the clinic. Make sure you follow these steps so the process may run smoothly.

  1. Open your tablet located in your toolbox, this should open up a UI.
  2. Click “claim” on the designated appointment.
  3. Now it is time for you to greet your client. You may say something similar to the following, or completely different! Make sure it stays professional!

“Hello, welcome to ClearView Optics! My name is (username), what did you come in for today?”

  1. After they’ve told you their appointment. Make sure your rank is capable of doing this appointment. If not, try to find someone who has the right rank to do the appointment. If you cannot find anyone else, you may do the appointment.
  2. Next, ask them to follow you to an appointment room!
  3. After you’re done with the appointment, you may check them out by using the “Check-Out” button. Repeat these steps with your next clients!

Prescription Booking (Optometry Student):
Before you start the procedure you must ask you the client the following questions:

  • When was the last time you went to an Eye Doctor/Specialist?
  • How has your vision been?
  • Have you been experiencing any “blurriness” while reading?

After asking the questions, you may begin the procedure.

Step 1: Ask the client what their healthcare number is (please specify that they should not be asking for their real healthcare number; Please tell your client to make up a number).

Step 2: Go over to the counter and pretend to search up their healthcare and look for the prescription that they needed.

Let the client know that they have previously visited the clinic and they will need to follow you to pick out their frames.

Step 3: Next, you need to pretend to order the prescription that they needed for their contacts/glasses.

Step 4: Ask your client to follow you upstairs so they may pick out their frames.

Step 5: Pretend to put their desired frames on the counter for storage.

Step 6: Tell them the date and time at which they should return for their prescriptions to be picked up.

After the procedure, you may end their appointment.

Prescription Pick-Up (Optometry Student)
When you get to your appointment room, please ask your client to have a seat.

Step 1: Ask the client what their healthcare number is (please specify that they should not be asking for their real healthcare number; Please tell your client to make up a number).

Step 2: Go over to the counter and pretend to search up their healthcare and look for the prescription that they needed.

Step 3: Next, ask your client what frames they ordered.

Step 4: After they respond, pretend to hand them their prescription.

After the procedure, you may end their appointment.

Frame Selection (Optometry Student)
When you get to your appointment room, please ask your client to have a seat.

Step 1: Ask the client what their healthcare number is (please specify that they should not be asking for their real healthcare number; Please tell your client to make up a number).

Step 2: Pretend to go to the counter and search up their healthcare and look for the prescription that they needed.

Step 3: Ask them to follow you to find the glasses. Let them choose their glasses.

Step 4: Pretend to put their desired frames on the counter for storage.

Step 5: Tell them the date and time at which they should return for their prescriptions to be picked up.

After the procedure, you may end their appointment.

Frame Pick-Up (Optometry Student)
When you get to your appointment room, please ask your client to have a seat.

Step 1: Ask the client what their healthcare number is (please specify that they should not be asking for their real healthcare number; Please tell your client to make up a number).

Step 2: Pretend to go to the counter and search up their healthcare and look for the prescription that they needed.

Step 3: Next, ask your client what frames they ordered.

Step 4: After the response, bring them to the counter upstairs to choose their frames.

After the procedure, you may end their appointment.

Eye Examination (Optometrist)

Before you start the procedure you must ask your client the following questions:

  • When was the last time you went to an Eye Doctor/Specialist?
  • How has your vision been?

After asking the questions, you may begin the procedure
Step 1: Ask your client to look into the phoropter.

Step 2: Start adjusting the lenses while asking the client to say when they can see clearly.

Step 3: Now switch to a blurry lense and ask them to read out the letters on the eye chart.

Step 4: Now is the time to tell your client if they need glasses/contacts or not. If so, you may tell them to book a prescription and a frame appointment.

After the procedure, you may end their appointment.

Frame Adjustment (Optometrist)
Before you start the procedure you must ask your client the following questions:

  • What has been bothering you with your glasses (ie; too tight/loose)?
  • Have your glasses been leaving red marks behind your ears/nose?

After asking the questions, you may begin the procedure.
Step 1: Ask your client to take their glasses off.

Step 2: Pretend to grab a measuring tape off the counter and begin to measure their face. (Be specific; ie; nose, ears)

Step 3: Go to the counter and compare measurements to the frames.

Step 4: Heat up the frames and begin to bend them to form to the client’s face.

Step 5: Ask the client to put back on the glasses and ask them how well they fit.

Step 6: If they say that they don’t fit well, continue to fix it.

After the procedure, you may end their appointment.

Visual Therapy (Optometrist)
By this time, you should know a lot about procedures, etc. This appointment gives clients and staff a chance for a more serene environment while improving their vision.

The area to perform this appointment is just through the waiting room and into the appointment rooms, you should see it just outside. (If your client cannot see all of the things, please ask them to turn up their graphics).

Step 1: Ask your client to get themselves into a state of relaxation.

Step 2: On the board, you should be able to see the list of things they need to find. List them off and let them tell you how many they see. Keep note. Allow the client to walk around in the water, etc to find the items.

Step 3: Once they’re done listing the number of each item they saw, take into consideration what ratio it was that they got off.

Step 4: If it feels right, send them to get an Eye Examination.

After the procedure, you may end their appointment.

Lasik Eye Surgery (Ophthalmologist)
When you get to your appointment room, please ask your client to have a seat.

Step 1: Before the procedure begins, apply eye drops to numb your client’s eyes.

Step 2: Allow your client to relax on the treatment bed, their eyelids are gently held open and a precision flap-making instrument is carefully positioned.

Step 3: Ask your client to focus on the special fixation light.

Step 4: Activate the precision instrument electronically and seconds later is able to fold away a corneal flap, revealing the middle layer of the cornea.

Step 5: The corneal flap is then positioned. Natural forces hold the flap in place until the surface is healing completely.

Step 6: Ask your client if they feel comfortable. If so, allow them to rest for a few minutes before checking them out.

Step 7: Take them upstairs and ask them to put on a pair of dark shades. (These ones will have black instead of a clear inside).

After the procedure, you may end their appointment.
