This new handbook provides essential information needed to outline our group’s expectations and help our staff and customers to enjoy a pleasant experience alike!

Rules and Policies
  • TROLLING
    Trolling in our establishment is a zero tolerance policy. Trolling includes the intentions of offensive or provocative messages to someone or something digitally, such as negative comments and deliberately upsetting others.

  • ADVERTISING & LINKS
    Whether you’re an alliance or just a normal group or game, advertising is strictly prohibited for everyone. This includes mentioning another group or game in public chat, providing links to another group/game, or offering job opportunities not related to Cold Stone (excluding our Discord server alliance announcements which allows our PR Department to post applications or news from an alliance of Cold Stone). This may change at alliance visits where certain mentioning of the specific alliance is allowed, but no advertising or links are to be provided during any alliance visit.
    Links are very similar. Do not post any links in the public chat, even if they relate to Roblox. We do not want to expose malicious links to a younger audience (even if they are not malicious, protection of younger audiences must still be ensured) due to our game being all ages, so please ensure you completely limit any links sent within the chat whether they be Roblox, Discord, YouTube, Twitter, or any other links.

  • DISRESPECT AND RUDENESS
    Being disrespectful or rude will not be tolerated in any way, shape, or form. Disrespect includes showing a lack of respect or courtesy, or being impolite. Rudeness involves a lack of manners, being rough, being simplicit, or behaving in ways that are inconsiderate or discourteous.

  • DEFIANT / FAILURE TO COMPLY
    Being defiant involves challenging, resisting, or fighting a member of staff after being told to follow simple instructions and comply. It’s often known as a ‘failure to comply’ .

  • HARASSMENT & DISCRIMINATION
    Harassment in our establishment is also a ZERO tolerance policy. Harassment includes purposefully humiliating or degrading someone, including stalking (for example, following them across several Roblox games just to harass them or using alt accounts in spite of harassing someone or something) and intimidation. Discrimination can include hate speech, homophobia, and offensive terms used on somebody in order to harass or offend them and their nationality, personality, ethnicity, origin, colour, race, abilities, gender identity, personal background, or conditions.

  • INAPPROPRIATE CONTENT
    Any kind of NSFW (NOT SAFE FOR WORK) content is strictly zero-tolerance and will be considered ‘inappropriate’. This can include morphs or avatars that do not contain any clothing, known to be racist, avatars that attempt to harrass or discriminate against anybody, outfits that are just for the purpose of trolling, or outfits that contain political or controversial content. Outfits are not the only inclusion, but any discussion, social activity, or mentioning of inappropriate topics are also considered not allowed.

  • EXPLOITING AND HACKS
    Uses of exploits and hacks are strictly prohibited, such as injecting malicious malware or code into the game in spite of cheating or breaking the game, or attempting to hack someone else’s account, abilities, or use something in order to see, steal, or gain someone’s details or private information. This includes any mention of exploits or hacks.

  • ROBLOX ToS
    While in-game, all of Roblox’s Terms of Service and Community Standards should be followed at all times. If not, you will be reported to Roblox and sanctioned accordingly.

Session Information

Training Information

  • The purpose of Trainings: Training sessions help our Low Rank Team rank up faster and newcomers become staff through a short 3-section training process. When ranking up, you will repeat the same training process again to memorise and recall the skills and knowledge you gain from a training. A pass mark at the end of a session determines whether you can rank up or become staff based on your perseverance and knowledge from a training.

  • Trainees: Before attending a training, you need to be at least a Trainee - apply down at the Job Center; ensure you are within the group before applying. We don’t allow trainees to work because our application process is very short and quite easy to complete for many, and information from applications will not help a new worker progress or learn new skills.

  • Experienced Scoopers: Keep in mind that once you reach the Experienced Scooper rank, you won’t have to train anymore, but the system will become more complex as you’ll have to work your way towards Middle Rank and meet certain criteria (requirements) from the ES Promotion Guide in order to rank up.

Training Schedule

  • The purpose of the Training Schedule: It’s important to have a schedule to ensure that our training sessions are organised and run smoothly. A schedule also allows Trainees wanting to become staff and LRs wanting to rank up easily to know when the next session is.

  • Location of the Training Schedule: The schedule can be found on our communications server or on the session board down at the Creamery, including a list of times sessions are usually hosted under the Training Centre Description.

Training FaQ

Why is there a Training Schedule and Training Times?
The Training Times determine when there will be a schedule. A Senior Management+ must request for training based on these times, and as soon as the request is approved, a Corporate Director+ will schedule the training. This is often called the “schedule-approval-process”.

Who can host training sessions?
Senior Management+.

Who can host shift sessions?
Corporate Intern+ can host non-promotional shifts, Junior Corporate Officer+ can host promotional shifts, while Corporate Director+ can host mass shifts.

Where can I find the Training Schedule?
The schedule can be found on our communications server or on the session board down at the Creamery, including a list of times sessions are usually hosted under the Training Centre Description. It should be linked here as well.

What does “PTS” mean in Training Sessions and what’s the purpose of it?
PTS means Permission to Speak. It allows you to ask individual questions or state concerns to members of staff at a training session. Once they see you use the system, they will teleport or come to you, and answer your question or statement.

  • PRESIDENTIAL TEAM

President: This role represents the owner of the group and is always reserved to Mrdev09. The owner has a key responsibility in managing the entire group, its staff teams, customers, and more; the rank has a massive role in managing everything in the group.

Vice President: This role represents the co-owner of the group, the selected trustees of the owner who will manage the rest of the group. The Vice President rank is always reserved to xxca1_1umxx and WashingMyself with a large responsibility of helping the owner to manage everything in the group and provide information from the owner to lower ranks, including the Board of Directors and Development Team.

  • DEVELOPMENT TEAM

Head Developer: The Head Developer is integral to managing the Development Team and its respective employers, including setting Developer tasks, structuring updates, and
communicating with the President and Vice President regarding important development topics.

Developer: The Developer will act on suggestions and bugs related to the game, including completing tasks and responding to work feedback from the Head Developer.

  • CORPORATE TEAM

Board of Directors: The Board of Directors will work together collectively to make significant decisions for the Corporate Team and rest of the staff team, while responding to the feedback of the Presidential Team. The Board of Directors consists of Board Members and Chairperson of the Board.; Board Members will act on feedback from the Chairperson of the Board, while the Chairperson of the Board will control the board to make sure that the right decisions are made and ensure feedback is given to Board Members based on what the Vice President and President have told them.

Executive Director: The Executive Directors will oversee the departments of the Corporate Team. They will give feedback to and set tasks for the department leads, while ensuring they complete their own set by the Board of Directors. An Executive Director will oversee Moderation, Public Relations, or Staffing based on their original department.

Corporate Director: The Corporate Directors will lead the departments of the Corporate Team. They will give feedback to and set tasks for the department members and junior members, while ensuring they complete their own set by their Department Overseer. A Corporate Director will lead Moderation, Public Relations, or Staffing based on their original department.

Senior Corporate Officer: The Senior Corporate Officers are the members of each department. They are no longer interns or junior members and are able to fully complete tasks set by their department lead. They are either a Department Member for Moderation, Public Relations, or Staffing.

Junior Corporate Officer: The Junior Corporate Officers are the junior members of each department. They aren’t interns, but have certified they are eligible for the HR team through passing their internship process; they are not official members yet, but are a part of a department and will be exposed to tasks. Junior Corporates may be given less or easier tasks compared to Senior Corporates as they are still very new to departments. A Junior Corporate Officer is either assigned to Public Relations, Staffing, or Moderation.

Corporate Intern: The Corporate Interns have no department. However, they will serve a 3 to 4 week internship which will determine whether or not they are eligible for the Corporate Team. This role is also used for trials, in-case an applicant is not ready for their role yet or one of the higher HRs struggles to handle department work and needs to be put back on internship to prove they can. Corporate Interns have no ranking abilities, but can recommend promotions and host promotional shifts if they have a ranker.

  • MANAGEMENT TEAM

Senior Management: The Senior Management role is the last rank of the Management Team. It has all Middle Rank abilities, including a higher ability which allows them to host training sessions. Their main responsibility includes supervising the Creamery, LRs, and Management Officers.

Management: The Management role is at the rear end of the Management Team. Before closing in at the Senior Management rank, Managements have an ability to co-host training sessions, including all other Middle Rank abilities like Trainer and Assistant Trainer. Like any other Middle Rank, they will normally be responsible for supervising the Creamery and LRs.

Staff Assistant: The Staff Assistant role is entitled to supervising the Creamery and LRs, including training trainees at Training Session.

Management Intern: The Management Intern role is for all new MRs that have just been promoted from Experienced Scooper. They will serve a 2 to 3 week internship assisting training sessions as an Assistant Trainer (or Trainer if there is poor attendance of SA+) and sometimes supervising the Creamery. Should an MR put on trial or internship prove they are worthy, they will pass the internship and rank up.

  • SCOOPING TEAM

Experienced Scooper: Experienced Scooper is the last stage of the Scooping Team. They will need to work to certain criteria in order to obtain the Management Intern rank.

Intermediate Scooper: Intermediate Scoopers are at the middle stage of the Scooping Team. To rank up, they can spend an increasing amount of time getting noticed by a High Rank or to rank up faster, attend a training (often HRs are looking for ES to promote and not IS).

Beginner Scooper: Beginner Scooper is the first OFFICIAL low rank role that has the ability to work. The only way to rank up from Beginner Scooper is to attend another training session - there are no other ways.

Trainee: This role is still considered LR and a part of the Scooping Team, but has ZERO working ability. To rank up and start working from this role, you will need to attend a training session.

  • PRESTIGE MEMBERS

Contributor: This role represents massive supporters of Cold Stone, such as our merch makers & clothing designers, donators, and more.

Affiliate Representative: This role is for all of our partnered ambassadors who represent each of our affiliated groups.

Noted Customer: This role represents retired staff or developers, honoured members of Cold Stone, and former contributors (Contributors who request to be removed from the Contributor role will be added to this role).

  • STANDARD MEMBERS

Customer: Members of the group who continue to support us by being a member.

Guest: Non-members of the group.

Alliance Information

Information
Interested in joining our fabulous group of affiliates? This document explains all of the necessary information and prerequisites required for your alliance request. It is expected that you meet all of the carefully written guidelines in order to make a successful request in becoming an alliance, but should you wish to feel a requirement is unfair or may be unneeded for this partnership, it is recommended you request an exception to one of our Public Relations Members. Although it is not guaranteed you will receive acceptance of one of these requests, our team will take thorough review and precision of any sent requests, and judge whether it will be fair to provide an exception.

Alliance Requirements
The importance of meeting a set of prerequisites beneficial for this alliance is significant for your eligibility. It’s expected you meet each and every one of the following requirements. Please ensure that you are eligible for most of the requirements before making an exception request. The requirements are as follows:

  • 100 or more non-botted group members
  • 100 or more non-botted Discord members
  • Good-standing community within the Roblox platform
  • 2 active representatives that will represent the alliance
  • Not a previously terminated alliance of Cold Stone
  • No selling of ranks with administrative ability, including MR and HR roles

Should you wish to have an exception in one of the requirements, as said previously, this is a reminder to contact one of our Public Relations Member’s who will be listed at one point within this document. However, eligibility using these requests is not guaranteed, and our Public Relations Member’s aren’t obliged to accept them.

Alliance Expectations

While maintaining a mutually beneficial two-way partnership, we expect high quality of your group. Make sure that your group is eligible for the requirements that were previously listed within this document (unless there was a necessary exception), and ensure you are prepared to follow the list of guidelines below.

  • Maintain broad activity within your group, including frequent activity from your games each day, and occasional hosting of community events.

  • Avoid any drama or toxicity within your community, and attempt to prevent it in any way possible.

  • Ensure your staff team sustains regular activity each week.

  • Have a channel within your server to update your community frequently with requested applications or events from Cold Stone.

  • Do not escalate any situations we aren’t involved in or aren’t our responsibility, into Cold Stone.

Your staff should maintain a professional demeanor when visiting our community. We have any right to contact you about unprofessional behaviour from your staff within our community.

Should you fail to follow the policies that are listed above, we have any obligation to terminate your alliance effectively. Our team will check your alliance very frequently to make sure you are continuing to follow these policies.

Alliance Application

Now you’ve gone over the important aspects of becoming an affiliate of Cold Stone, it’s time to fill out your application. Please fill out all of your responses to the questions below in a detailed manner within a Google document, and submit the Google document to a Public Relations Member listed in the ‘Affiliate Management’ section.

  1. What is the name of the group applying for this alliance? Please provide a permanent link to your Roblox group and Discord server.
  2. Why are you interested in becoming one of Cold Stone’s affiliates?
  3. How can your group support a mutually beneficial two-way partnership?
  4. On a scale from 1 - 10, how active is your group currently? Please explain this rating.
  5. What is the purpose of your group? Include the group’s genre.
  6. Why did you choose this genre?
  7. What makes your group more outstanding than other groups?
  8. Please state the two representatives, accommodated from your team, who will be representing this alliance. Provide their Discord & Roblox usernames.

Filling out every response in a detailed manner is crucial.

You need to fill all of these all of these questions in a document and submit the document to a public relation officer or open a ticket on the communication server, and send it there.

Ban Appeals

Information
The Ban Appeals system is created specifically for allowing players who obtain a ban to have a second chance or an opportunity to appeal themselves because they thought the ban was unfair or invalid. All bans that you have chosen to appeal MUST be Game Bans - other types of bans CANNOT be appealed (e.g. Communications Server ban).

Reasons to Appeal a Ban:
• Second chance
• Unfair ban
• Invalid ban (given for invalid reason or no reason at all)

Reasons NOT to Appeal a Ban:
• Appealing for your friend
• In hope that you will be able to continue breaking the rules
• Communications Server Bans (not appealable, so not a reason to appeal)
• Roblox Moderation Bans (we cannot handle these - we are not Roblox themselves, so please contact them via the support form at Roblox Support instead)

APPEALING A BAN
To appeal a ban, you need to join our communications server. If you cannot access our communications server whatsoever, please contact a member of the Moderation Department and explain why you are appealing the ban.

If you’re in our communications server, for the steps below.

Instructions (if you ARE in our communications server)

  1. DM the Support Bot
  2. A member of the Moderation Department or the Head of Appeals will respond
  3. Fill out the questions below in a DETAILED manner (2+ sentences).
  • List 3 reasons why you should be unbanned

  • Explain why you were banned

  • Do you know the moderator of your ban? If so, list their Roblox & Discord username.

  • Do you agree to following the guidelines of Cold Stone after being unbanned, and agree that you will be community blacklisted for further or repeated offenses after the ban has been removed?

Instructions (if you are NOT in our communications server)

  1. Contact a member of the Moderation Department or the Head of Appeals
  2. Ask them to look into your ban/if your able to appeal it
  3. Explain to them why you should be unbanned in a DETAILED manner (2+ sentences) from the questions below.
  • List 3 reasons why you should be unbanned

  • Explain why you were banned

  • Do you know the moderator of your ban? If so, list their Roblox & Discord username.

  • Do you agree to following the guidelines of Cold Stone after being unbanned, and agree that you will be community blacklisted for further or repeated offenses after the ban has been removed?

CONCLUSION
We look forward to hearing from you and wish you the best of luck in getting unbanned. We understand that sometimes a ban can be frustrating, but please remember that you are accountable for all of your actions; if it wasn’t your fault, rest assured that we will look into it as much as possible. All members of the Moderation Department, including Head of Appeals, may accept/decline your appeal at their own discretion. You need to fill it out in detail and in the correct manner or there is a likelihood you won’t be unbanned.

Code of Conduct

Information
All staff members are required to adhere to the Code of Conduct at ALL TIMES. One small violation of this code will result in immediate punishment. This code is significant for keeping our staff team as a whole (that includes LRs) civilised, equal, and welcoming, as well as ensuring that customers receive the correct customer service and experience as everyone else.

PROFESSIONALISM;
You must maintain a professional attitude at all times, treating everyone with respect and courtesy. Your behavior reflects the creamery’s image.

CONFIDENTIALITY;
Embrace teamwork and open communication. Analyse each situation carefully before making a thoughtful decision. Do not share private information or documents with those who are clearly not allowed to access or see that information; this incorporates ensuring that you keep your own and everyone else’s personal information STRICTLY confidential.

OBLIGATION;
All staff members are obliged to adhere to the Code of Conduct, whether or not it is fully read. Even minor violations of the structure of the Code of Conduct may result in serious consequences.

ADMINISTRATIVE POLICY;
Admin commands should be used properly. All staff members may only use admin commands for certain tasks, such as organising events or moderating servers. Clear communication and professionalism are crucial when using admin commands.

CHAIN OF COMMAND
Staff members should take responsibility for addressing situations and civilly use their power. Do not go straight to the highest of ranks with such minor problems that you or lower ranks can handle.

PUNCTUALITY;
Be punctual (on-time) for shifts, meetings, and other staff-related activities. Your attendance is appreciated and ensures smooth operations.

UNIFORM;
Refrain from using morphs or inappropriate avatars in your outfit at the creamery. Adhere to the dress code when behind the counter and maintain a positive impression. A neat arrival contributes to our creamery’s atmosphere.

CUSTOMER SERVICE;
Deliver exceptional customer service, making each customer’s experience memorable and positive. Disrespect or rudeness will not be tolerated towards any of our guests.

SAFETY;
Prioritize safety for all. Follow our staff rules to prevent accidents and ensure the well-being of customers and colleagues.

CONFLICT RESOLUTION;
Resolve conflicts professionally and promptly. Seek assistance from higher-ranking staff if needed, and avoid escalating issues.

LIABILITY;
Every staff member is accountable for their actions during their careers. Our team is not responsible for actions unrelated to our group or beyond that point. Keep things organised and consistent.

TRAINING SESSIONS;
Every staff member should follow the training guidelines and standards when attending or assisting a training session. This includes the training uniform code.

SHIFT SESSIONS;
Every staff member should follow the shift guidelines and standards when working in or supervising a shift session. This includes wearing the LR/MR/HR uniform behind the counter depending on your role.

INACTIVE NOTICE / LEAVE OF ABSENCE (IN/LOA);
Staff members can request a notice once every month, with a minimum absence period of 16 days. Inactivity Notices must be requested through the designated channels, using the approved format and providing a valid reason for the absence.

ACTIVITY;
All staff members are encouraged to actively participate in our events, and activities, including attending meetings, events, and sessions.

MR/HR MEETINGS;
Attendance at scheduled meetings is mandatory for all staff members. Meetings provide opportunities for information sharing, brainstorming, and cooperation. Activity is expected, and advance notice is required for absences.

APPOINTMENT AND REMOVAL POLICY;
The process for appointing and removing staff members from positions is outlined in this policy. Appointments are based on merit, commitment, and alignment with creamery values. Removals follow a fair and transparent process.

MR/HR Promotion Guide

Welcome to the MR & HR Cold Stone Creamery Promotion Guide. In this document, you will find all the vital information needed to ensure our ranking system goes smoothly and is as organized as possible. If you have any questions or concerns regarding this guide, please do not hesitate to contact the Staffing Lead/Overseers or any Executive Director+.

Permissions
All members of the Staffing Department may promote individuals to Management Internship, and all members of Corporate may recommend to the SD for internship.

• Junior Corporate may recommend promoting Staff Assistant → Management.
• Senior Corporate may promote Management → Senior Management.
• Corporate Director+ may promote Senior Management → Corporate Intern.

Promotion Criteria
Staff Assistant → Management:

  • 4+ weeks as Staff Assistant minimum.
  • Exceeded activity requirements and has not missed a week. (Unless on IN)
  • Long-time outstanding behavior within both the communications server and our premises.
  • You must not hold a very close relationship with the individual.
  • The promotion must include a valid reason.

Management → Senior Management:

  • 4+ weeks as Management minimum.
  • Exceeded activity requirements and has not missed a week. (Unless on IN)
  • Long-time outstanding behavior within both the communications server and our premises.
  • You must not hold a very close relationship with the individual.
  • Been noticed by another HR+ (not including the one promoting).
  • The promotion must include a valid reason.

Senior Management → Corporate Intern:

  • 5+ weeks as Senior Management minimum.
  • Exceeded activity requirements and has not missed a week. (Unless on IN)
  • Long-time outstanding behavior within both the communications server and our premises.
  • You must not hold a very close relationship with the member.
  • Can supply previous experience as an HR+ to their mentor.
  • Pass their department applications.
  • The promotion must include a valid reason.

Corporate Intern → Junior Corporate:

  • 3+ weeks a High Rank Intern (this is the average HR internship period)

  • Exceeded internship activity requirements and has not missed a week. (Unless on IN - Inactivity Notice)

  • Properly noticed for promotion without any close relationship or BIAS

  • Enough knowledge & work experience of the HR Team to be applicable to pass the internship

  • Long-time outstanding behavior within both the communications server and our premises

  • 2FA enabled on both our communications and in our Roblox group

  • Eligible enough to be able to join a selective department

  • Can supply previous experiences within HR departments to their mentor

Junior Corporate → Senior Corporate:

  • 5+ weeks as a Junior Corporate
  • Exceeded a varied amount of department tasks
  • Exceeded activity requirements and has not missed a week. (Unless on IN)
  • Long-time outstanding behaviour within both the communications server and our premises.
  • You must not hold a very close relationship with the member.
  • The promotion must include a valid reason.

Senior Corporate → Corporate Director:

  • 6+ weeks as a Senior Corporate
  • Completed several department tasks and engaged with their department as much as possible.
  • Exceeded activity requirements and has not missed a week. (Unless on IN)
  • Long-time outstanding behavior within both the communications server and our premises.
  • You must not hold a very close relationship with the member.
  • Can supply previous experience as a department lead to their promoter.
  • Pass their department lead applications.
  • The promotion must include a valid reason.

Corporate Director → Executive Director:

  • 7+ weeks as a Corporate Director
  • An overseer position must be open for that individual’s department
  • Completed several department tasks and engaged with their department as much as possible
  • Outstanding hard-work within their department
  • Outstanding professionalism
  • Willingness to help others
  • Exceeded activity requirements and has not missed a week. (Unless on IN)
  • Long-time outstanding behavior within both the communications server and our premises.
  • You must not hold a very close relationship with the member.
  • The promotion must include a valid reason.

Executive Director → Board of Directors:

  • The Executive Director must engage with their department regularly, focusing on improvements and tasks to maintain high activity levels.
  • Actively contribute to enhancing the group by making the community more engaged and aligning with the group’s values.
  • Promote 1-2 individuals from LR or MR teams to show appreciation for hard work, with exceptions considered.
  • Monthly, log a minimum of 2 shifts and 2 training sessions, excluding cancellations, to meet activity requirements.
  • Maintain less than 3 consistent staff warnings; exceptions for invalid warnings are granted upon resolution.

Welcome to the Experienced Scooper Cold Stone Creamery Promotion Guide. In this document, you will find all the vital information needed to ensure our ranking system goes smoothly and is as organized as possible. Permissions
All members of the Staffing Department may promote individuals to Management Internship, and all members of Corporate may recommend to the SD for internship.

• Corporate Intern may recommend promoting an Experienced Scooper.
• Junior Corporate+ may promote an Experienced Scooper to Management Intern

Expectations
• As an Experienced Scooper, you should be maintaining a strong work ethic with a strong determination and dedication to reach your next rank. Without showing dedication, commitment, or a strong work ethic, you are not showing you are someone who is interested in receiving the next rank.

• Rule-following and professionalism is vital. You must maintain a professional demeanor at all times, follow all guidelines, and maintain high standards. You lack trust and therefore will not be promoted by not meeting this expectation.

• Working to achieve as many minutes and WP in-game as possible is critical. Keep in mind that WP will be a part of your requirements, so make sure you’re aiming to get as close to 1,000 Worker Points as possible.

• Wearing a uniform and showing your on-duty shows that you are committed to maintaining work standards. Without uniform, you signify you are not on duty and therefore will not be noticed by an HR/MR.

• Respect and kindness is also imperative. Showing that you can help others with their problems will be significant for when you become a Middle Rank.

Requirements
• At least 13 years of age
• Access to communications server
• At least 1,000 or more WP (Worker Points) (or 850 as an exception)
• No safe chat
• Adhere to the expectations listed above this section
• A legitimate Roblox account that is at least 1 years old
• Accurate communication skills
