Crystalize - Relations Handbook

Intro

Congratulations on becoming apart of the Public Relations Department! We are very ecstatic and exhilarated to see what you can bring to Crystalize. As a member of our Relations Department, it is important to remember that you are one of the most important figures in our community! Most smaller groups depend on other communities to help them out.

Entrusted with dealing with the relations of the gathering through collusions and the general network while likewise taking part in the typical exercises, for example, regulating the parlor, going to trainings and meetings, and helping other staff individuals when required. With the remainder of the Super Rank group, they have the duty of composing union applications and keeping up positive correspondences with the entirety of our great partnered gatherings. Likewise, they hold the obligation of arranging, facilitating, and reporting occasions for the gathering itself. They should be dynamic, committed individuals who are prepared and anxious to speak to Crystalize in the most ideal way through the entirety of their words and activities.

This handbook will be a quick overview on how you can find alliances and conduct events with other alliances. Any other questions shall be directed to the Vice President of Relations.

Finding a Partnership

To begin finding a possible partnership, we must first look for a group that has potential with us. Of course, we shall not assume any other corporation’s abilities, but look for groups with decent graphics, a communications server, and has over 250 group members.

STAGE 1 - JOINING THE COMMUNICATIONS SERVER AND CHECKING IF WE MEET THE APPLICABLE REQUIREMENTS

Once you have seen a group that looks like it has potential, you will join their communications server. You will then go find their Alliance Application, and check if we meet the requirements accordingly. If we have met the requirements accordingly, you will post their group link and communications server in #relations-discussion with the @here ping. You will then discuss with the other users in your department and decide if you are willing to send an alliance application to their group. If your colleagues agree, you will then ensure that the Vice President of Relations is aware of the group that you are interested in forming a partnership with. If the Vice President of Relations has agreed to send an alliance application to that specific group, stage 2 will begin.

STAGE 2 - SUBMITTING AN ALLIANCE APPLICATION

You will then start filling out the alliance application for that specific group. You must ensure that you are being very descriptive, and filling the answers accordingly. Additionally, if you are stuck on a question, there are templates you may look off of, or you may ask any other member from the Relations Department! We are a team, and we are always able to help you! In this stage, ensure that you have 2 Corporates who are willing to represent Crystalize. After you have submitted an alliance application accordingly, you will then go to the trello board, and put the specific group under the list “Ongoing Business”. You will also add the “Possible Partnership” label to that card.

STAGE 3 - WAITING FOR A RESPONSE

We’re almost done! Now, we wait for a response from the group’s Relations Department. This stage could take anywhere from 24-72 hours, depending on the group. Once the group has finally reached back to us, regarding our alliance application, they will state if we have successfully passed our application or if it has been declined. If our application has been accepted, great job! You have successfully formed a partnership with another corporation, meaning we are now on stage 4! If the application was declined, do not fret. Just look for improvements for the next application!

STAGE 4 - GAINING REPRESENTATIVES

You will ensure that the other group has two representatives to represent that specific group. They will be required to join our group and communications server. In the group, they will be ranked to ‘Noted Customer’, with the addition of being ranked ‘Allied Representative’ in our communications server. Ensure that when giving someone their roles, you change their nickname to add the group they are representing. For example: “aeyuze | Crystalize” or “k4sah | Crystalize”.

STAGE 5 - ANNOUNCING

After you have successfully gained the representatives from the specific group, you will be ready to announce the new partnership! In order to do this, you are required to go to #affiliate-announcements. You will then type up a short and sweet announcement explaining the new group we have just formed a partnership with. In addition, make sure to give all required links for the group. For example, their group link, their communications server, etc. If you need any help with creating an announcement, you are able to look at previous affiliate announcements, or you may ask for help in #relations-discussion. After you have announced the new partnership, you are required to move the specific group from “Ongoing Business” to “Business Partners”. If the group has filled all their representative spots, you will add the “Filled Representatives” label. If they haven’t, make sure to add the “Awaiting Representatives” label. If they filled their representatives, add a card to “Business Representatives,” with the title being the group’s name, and in the description, add their representative’s Discord username and tag.

Conducting Events with Alliances

To begin conducting events with alliances, you must ensure that the other group’s Relations Department is fine with conducting an event with our corporation. To ensure this, you must first contact one of the High Ranks that are in the Relations Department from the other group to ensure they will be fine with conducting an event with us. If they are, we will be moving onto stage 1!

STAGE 1 - BRAINSTORMING AN EVENT

Make sure to brainstorm an event! If you are in need of ideas, you are able to ask the rest of our Relations Department for any ideas they have. Make sure that the idea is appropriate, and ensure that it will be fun for both communities to participate in.

STAGE 2 - PRESENT YOUR IDEA

Present your idea to the other corporation, and see if they like it! If they like it, we will be able to move onto stage 3. If for whatever reason, they dislike the idea, talk it out with them, and see what ideas they have!

STAGE 3 - DESCRIBE THE EVENT

You will now need to describe the event! You will need to make sure to see if the event will have any prizes or awards, where the event will take place, the time and date of the event, and much more. Make sure to do this stage with the other corporation, as we would love to hear their ideas for the event. Once you have come to a conclusion on what you are interested in doing for the event, you are now able to add the event idea to “Scheduled Events with Partnerships”. After you have done that stage, you are now able to go to stage 4!

STAGE 4 - ANNOUNCING THE EVENT

You are now required to announce the event! Make sure to describe the event, and add key points to your announcement, of when it will be taking place, description of the event, and much more. If you are in need of help during this stage, do not fret to ask any other member in the Relations Department for help.

STAGE 5 - CONDUCTING THE EVENT

You are now at the list stage, conducting the event. Whilst conducting the event, whether it is a karaoke night, or Roblox game, make sure it is a fun environment for all! Ensure that there are people from both groups who are actively moderating the event to ensure the event goes very smoothly.
